Product & Operations Administrator

ProGnosis Biotech DOO, a dynamic and fast-growing biotechnology company, is seeking a detail-oriented and proactive Product & Operations Administrator to support our operational activities at our Belgrade office in Serbia.

the role

As a Product & Operations Administrator, you will play a key role in handling product logistics, inventory management, and client support across the Serbian market and neighboring regions. You’ll coordinate closely with our central hub in Larissa, Greece, ensuring timely and compliant order execution and smooth international logistics.

Responsibilities

  • Order & Logistics Coordination:

    • Manage import processes and verify monthly deliveries from Greece.
    • Process Serbian client orders: stock checks, invoicing, packaging, and dispatch.
    • Handle product labeling, courier scheduling, and peak-period packaging procurement.
  • Inventory & Compliance:
    • Perform weekly inventory checks and audits.
    • Maintain accurate stock records and ensure regulatory compliance (e.g., ALIMS product list updates).
  • International Operations:
    • Support exports to Russia including currency processing and documentation.
    • Liaise with customs brokers and transport partners for international shipments.
  • Administrative & Sales Support:
    • Prepare client quotations and monitor CRM data accuracy.
    • Follow up on outstanding customer balances.
    • Assist in event coordination and provide first-level technical client support.

REQUIREMENTS

  • Education:
    • Bachelor’s degree in Business Administration, Life Sciences, Biotechnology, or a related discipline.
  • Skills & Competencies:
    • 2–3 years of experience in logistics, product handling, or operational roles (preferably in diagnostics or healthcare).
    • Excellent organizational and time management skills.
    • Proficient in Microsoft Office (Excel, Word, PowerPoint); CRM/inventory system experience is a plus.
    • Fluency in English and Serbian (written & spoken).
    • Valid driving license.
